1. Booking Confirmation
Once you submit a booking request, MyNavi Scan will confirm your appointment by phone, SMS, or email within 30 minutes during business hours (Monday through Saturday, 8 AM to 6 PM CT). You will receive the confirmed date, arrival window, and parking location for the mobile van.
2. Cancellation by the Clinic
Dental and medical practices that need to cancel a confirmed appointment should contact us as early as possible.
- More than 24 hours before the appointment: Full refund. No fee assessed.
- Less than 24 hours before the appointment: 50% of the scan fee is charged to cover the technologist's blocked time and van dispatch preparation.
- Same-day no-show (van arrives and patient is absent with no prior contact): The full scan fee is charged to cover van dispatch, fuel, and the technologist's time.
3. Cancellation by the Patient
Patients who need to cancel or reschedule must do so through their referring dentist or physician. The referring practice is the booking party and is responsible for communicating the cancellation to MyNavi Scan. Patients should not attempt to cancel directly; their request may not be received in time to avoid a fee.
4. Cancellation by MyNavi Scan
In rare circumstances — hazardous weather, a mechanical issue with the mobile suite, or technologist illness — MyNavi Scan may need to cancel or reschedule your appointment. In these cases:
- We will notify you as early as possible by phone and SMS.
- You will receive a full refund of any amount paid, or we will reschedule at the next mutually convenient time.
- No cancellation fee is charged to the clinic or patient.
5. Refund Timeline
Approved refunds are issued to the original payment method within 5 to 7 business days. Processing times may vary depending on your card issuer or bank. If you have not received a refund after 10 business days, contact us at mynaviscan@gmail.com or 312-999-0550.
6. Disputed Charges
If you believe a fee was applied in error, please contact us directly before initiating a chargeback with your bank. Most billing questions are resolved within one business day. We can provide a full record of the appointment, van dispatch time, and communication log on request.
